I'd get one warning for a solo meal that large, then I'd be on my way out the door. With clients, no problems. It's not fair to compare revenue between various industries, but the sales I oversee are on the order of 10's of millions a year and a 250 dollar personal dinner would set off alarms real quick.

Bring it up politely in a private setting. Let him know that it's alright to splurge 2-3 times per year due to his excellent performance, but that the rest of the time he is expected to stay within the $125 limit.

that doesn't make sense, how many salesmen generate the "10's of millions a year?" $250 for a dinner if the guy just closed a deal for several mil is just a nice attaboy

Isnt that what sales bonuses are for? If you want to spend more than whats allotted, take it from the bonus.

Unless of course, the salesmen is the type of person who needs constant affirmation and validation (aka, hand holding).

I work in the oilfield. The numbers are just inflated due to the nature of our work. Every single job we do can be in the several million dollar range. So every sales person is working accounts that large. I'm not special for doing so. They can easily find someone else to do the work that doesn't require a $250 dollar meal on top of my salary, bonuses, and stock awards....

One thing to remember is not getting flack with expense card spending may be a very attractive part of this job for him.
Basically, I would say, “I don’t care if you go over your expense account On occasion, you’ve earned that…I just need a heads up when it happens so I can take care of things on my end…”

OP stated it was not a client dinner which don't fall under per diem rules anyway.

What I don't understand is why he knows how much he's spending on per diem. Per diem is a reimbursement and he shouldn't be privy to what the guy is spending either way. It's $125 a day whether the dude gets a burrito from 7/11 or goes to a steakhouse. Anything over that is taxable to the employee.

Same, I didn't mind when my one sales manager in the flow of a conversation just said, be mindful of the spending for me please. You bet, and it's because he respected me and I respected him.

I had the other as you also pointed out and he was a major douche. Was demoted to a role not dealing with anyone but inventory management between the manufacturer and the dealership.

If Op has the respect of the sales rep then he can have this conversation.

I was living in Lafayette during the oil boom of the of the late 70s, early 80s, there were no holds barred, every one who didn't wear a hard hat seemed to have a company car and credit cards, I never worked in the oil business but a friend of mine was a corporate pilot for a company based in Lafayette at the time, he got me checked out on the company jet so that when he wanted time off I could fill in for him, his boss gave me three credit cards and told me I could use them(within reason,) even when I wasn't filling in, I've seen some incredible charges racked up on those cards and at the time at least, nothing ever sounded off any alarms

i'm the top producer at my company and i'm scared shitless of spending $40 at a single meal.

my boss has never once talked to me about my CC usage other than when i've bought company stuff on amazon or pay pal and i always have the receipts.
