Corporate Card Expense Reporting

We have 15 card holders at our business. Interested in receiving feedback for any users of expense reporting software for time and expense reporting and receipt management for expenses.. Any recommendations, started looking into Concur, Divvy, Expensify. We use QuickBooks online so it would be ideal for auto syncing. TIA

From a user perspective, a lot of those expense reporting softwares are virtually identical to each other, though I'm not familiar with divvy. A quick Google search suggests any of those options will import into QuickBooks. Now the administrative side can look a little different between products but with only 15 people I can't imagine it being overly complicated. At the end of the day, I'm probably just going to go with whichever one gives me the best deal.

We use Concur. I like it.

7000+ employees , publicly traded company; don’t know how aligned to your company

Back in the day, the first company I worked for, privately held, 5000+ employees, we use some sort of Bank of America web app

I have 10 employees and we have tried two methods.

1. I have a bookkeeper from the Phillipines Everyone is required to take pictures of their receipts and e-mail them to an e-mail address we have specifically for receipts. She matches them all up for us. Costs a few hundred bucks per month.

2. Everyone uses their own card and we reimburse expenses where they have a receipt.


First method was amazing because I was getting a million credit card points a year (at least) but probably 75% of the receipts.

Second method the employees liked better because they were getting all the credit card points and we collected 99% of the receipts.

I’d take option 1 for that many points and accept a few losses.

I use Concur and am not a fan.

This only works for companies that have maybe $500/ month expenses for any employee. Employees wouldn’t like spending $10,000/ month on their own card.

Yes, trying to find something that is user friendly for employees and doesn’t take a ton of time on the accounting and record keeping back end

Why not? They get reimbursed before the due date on the card. I guess someone might care, but it never came up.

A lot of folks carry credit card balances so they don’t like putting it on the their own card or have credit issues

I could see that. If they didn't want to, I certainly wouldn't force the issue.

I think the bigger conversation is why are we saving receipts anyway? It is WILD to me that we don't have the technology to automatically have a copy of the receipt on the credit card system that can be accessed online.

My wife can use personal for every business trip. We are typically floating $6-8K in expenses at any given time. She can also book however she wants so we use a reward portal to get a multiple there as well.

I have to put everything through corporate card. We use Concur for the expenses and travel management.

If you guys started playing the credit card bonus game you also have 500k-700k worth of points to play with every year.

Easily 10k worth of vacation travel.

I had the realization recently that we were leaving thousands of dollars in points on the table. So…we are now optimizing that system. Booking through Chase Travel alone is worth tens of thousands of points because they do a 5x multiplier.

I understand that. But frankly I’d have a hard time trusting a company that required me to put $10k a month on a personal card, if they go bankrupt you are fricked.

Furthermore, cc points are great but if you are putting hotels and airfare on a cc you are getting points for staying there whether it’s your card or not.

Lastly, lost receipts are a fact of life. If you aren’t reimbursing an employee for something that is lost but they needed that’s a pretty dick move. It’s also a lot more difficult to differentiate personal from business if you are buying a bunch of your companies crap.

ETA: I’m not saying it’s an all around terrible idea. There is some worth there for both parties. But it would only work in fairly limited businesses like limited scale and trustworthy employees with reasonable incomes.

I would assume they are getting taxed on the CC reimbursement? Why would anyone prefer that?

Unrelated somewhat but I remember when I started with my first company over 10 years ago and they had personal cards being expensed, a guy I worked with a bit had $15k-$25k going on his card every month for permitting purposes for work on his line of buisness we had. He also flew in from Raleigh to ATL every other week.

Needless to say at the end of a year the guy had RIDICULOUS travel rewards/miles I remember.

I do remember 1 month he tried changing his direct deposit though and it didnt go through in time and he called into payroll asking what happened and they said they had to mail him his paycheck until the new direct deposit got verified and he sweating bullets because he had to pay that card off hoping that paycheck with the reimbursement was coming in the mail at some point I remember
