Iron Mountain - Document Management (Paper Files)

Iron Mountain stores docs for my company offsite. With electronic records this is now redundant. So we want to them to destroy what they have onsite. What they are quoting is ridiculous. For them to shred our documents it's going to amounts to 2.5 times our annual costs, just shy of $90K.

Has anyone ever negotiated a reduced amount for Iron Mountain to shred docs? Any success stories?

How much paper, 6000 banker boxes @ $15 each?

Not sure of your storage contract, but if breaking it early, is there a stipulation preventing you from using another company to shred it? If not, Iron Mtn should load it onto your trucks and you take it back to your warehouse on pallets.

It'll be cheaper if you let someone else take it to their place on pallets to shred, but I think it's less secure. I'd get quotes from a few local, on-site shredding firms & let them park two trucks in the corner of your parking lot. Then use your forklifts to move it out there & let them fill their trucks.

A decent size truck can carry about 4 tons of paper per load that would take about 2-3 hours to fill. The location of the recycling center to your office matters as to the second shred load for the day.

It sounds like a big job but highly profitable for a small company while potentially saving you a bunch too. Not sure of current values, but shredding companies make a lot of money on the back end by selling your paper to the recycler.

My old company used to store stuff at Iron Mountain. Could you just remove everything from Iron Mountain and then get a quote from someone else (ShredTex, Data Shred, etc.) to destroy everything at a much cheaper cost?

should have read fine print in the contract. you are going to pay either shred fees or exit fees. IM has 80% of fortune 500 business. Everyone else is small potatoes.

How big is your company and how much do you have stored with them?

I know their business inside and out
