Or be happy they are fixing it and it’s not being reported so when you do get rid of it, the damage won’t come up on any type of report like car fax
Would the VIN not be entered in at the body shop? Maybe I’m wrong, but I think if it is, it still shows up on Carfax……

The way they want to handle it is 100% better for you than handling it through insurance. The damages will not show up on any carfax style report, therefore, as long as you chose a quality repair shop that can fix it without anyone being able to tell(which is pretty easy), you will not have a "diminished value" on your vehicle when you go to trade it in.
If going through insurance, the damages will show up on a carfax, and the amount you get for "diminished value" will not equal the amount that a dealership is going to want to deduct from the value of your vehicle, for being in a previous accident.
Plus, ALL insurance companies try to look for and source used, reconditioned, or aftermarket parts to put on vehicles. They also prefer to try and repair parts on vehicles rather than replace them. Not having insurance involved removes all of that from the equation and guarantees brand new OEM parts being used, if you want them. You can explain to the shop you chose what he situation is, and explain how you would like the estimate written. Then, present the estimate to your company and let them pay.

how much damage was done?
Minor damage might give you a 0 multiplier on your diminished value. You need minor structural damage.
And severe damage gives you the highest multiplier.

Yep... Some software is programmed to automatically report to Carfax, even for minor repairs

This is not true.
I guess potentially there is "some" software out there that may be programmed to report to carfax, but certainly not the majority. CCC and Mitchells are the 2 major estimating systems in body shops. Neither one of these systems reports anything to Carfax.

If a body shop wanted my business they would not be entering any info into any data base unless I approved it.

Thats between you and the body shop...but if his truck is only a week old....and he needs certain parts that only certain body shops are dealerships can get......they are going to need his VIN number and enter it somewhere to order these parts that are very likely hard to get....bc of China

Awkward situation. Apparently the company is handling everything direct instead of going through insurance.
I'm not worried about getting the truck fixed - but inconvenience, rental car, not being able to ask for diminished value, etc.
Why not let them handle it and see what they do.
They might throw in an adjustment for the dimished value without even telling you.
If they do not, ask.

What database does it go into?

Have you offered to buff out and pay for the damage to his paint? As an executive appearances matter and it's important that his car remain immaculate - time for you to be a team player here.

wife hit my 6 week old car in the garage yesterday trying to reverse with the back door open. i feel your pain

I would say every bodyshop I know that deals with insurance companies, does not personally report anything to carfax. Insurance companies, police depts, fire depts(if there is a report of some kind, dmvs all report to carfax. Body shops do not. And yes, I know a lot of different shops and shop owners.

Straight alpha move. Nothing else comes close to highlighting the boss-subordinate power structure.

That statement false... most body shops do...shopping around for estimates, ordering parts with the VIN numbers could also cause a carfax report to be created...
