Sole Proprietor - payroll and accounting software

Looking for recommendations. Need to handle my accounting, payroll, and taxes - state and federal.

QuickBooks Online. Automatic payroll options and bank data import for bookkeeping.

QuickBooks Online for all the things you mentioned. I’ve heard good things about Gusto payroll software too, but no personal experience with them.

We use quickbooks for all our bookkeeping to hand over to the cpa and for payroll i just started using gusto.

I could never get payroll correct with quickbooks

Even billion dollar organizations use Quickbooks! Well, former billion dollar companies at least.

We use gusto for payroll. It's fine. Takes a little time to get the accounting lined up.

I am looking into gravity because I am not a fan of qbs.

I have contractors in the Philippines who do my bookkeeping. Very low price. Actually, so low I pay 2 different contractors to do bookkeeping on the same statements. Then I use each report to check the other's work, identify errors, and give feedback/request updates.

Actually this thread has me thinking of using Quickbooks this year, though. I like the idea that you can code the same transaction one time and ever similar transactions is automatically coded the same way. And real time reports would be nice. Although monitoring those numbers too much could distract me from my core business activities. Any my yearly cost for bookkeeping would about double.

How do you know which is correct / that they aren’t both wrong in different ways?

What business are you in?
And who does your taxes?
Does the person who does you taxes do a once over on the bookkeeping?

The report spreadsheet I use has a monthwise breakdown of income and expenses, tabs for each bank/credit card statement, and then also an income statement. If there are discrepancies on any of the totals I look into it further. Then I'll review to make sure they coded the transactions correctly. And I'll check that the monthly income and expenses from the statements to make sure the totals match.

1. Make an account on Upwork.

2. Write a job ad with your specifics. Please don't mess up the market and put an American budget. Leave the budget field blank and freelancers will bid on it. A few dollars an hour goes a long way in many foreign countries. A lot of the time I chose flat fee so that I don't have to worry about monitoring the productivity of their hours. Choose worldwide for location freelancers and put suggested countries like India and Philippines.

3. Once you get enough bids, and you'll get a ton, you can make a shortlist of the good contractors. 4 star ratings, over $1,000 in earnings, a good profile with education degrees listed, and really good reviews are good indicators. If the freelancer has a really high number like $100,000 in earnings or something, it's probably really an agency; I don't like to work with agencies just because multiple people could be working on a project which can cause communication problems.

4. You can interview people if you want. I usually just send a few messages or hire them directly if they look like strong candidates.

5. If it's a bigger project, it's usually a good idea to get them to work for a while and then give you a sample. For bookkeeping, I supply the template spreadsheet.

I use a CPA for taxes.

If you are doing this much work you should just do it yourself. If you are reviewing every transaction to make sure they are coded correctly, you could spend a tiny amount more time and just code it yourself.

Who reconciles the checking, credit card, etc? If you are doing this too, why do you need the bookkeepers?

You didn't answer what business you are in. Do you have inventory? Sales taxes? Do you do job costing?

It’s more of a once over to see if anything jumps out. I’m very happy with the amount of time I spend on this. Thanks for sharing your opinion, even if uninformed.

Business process outsourcing is a multibillion dollar industry and bookkeeping & accounting is one of the top sectors within that. Did you realize that many if not most American accounting firms outsource bookkeeping overseas or have a bona fide back office set up overseas? They even do it for tax returns,, under supervision of course.
