Setting up a barcode or sku system at work

I work for a relatively small engineering and Fab shop. But we’re a novel concept and we have patents so we don’t really have competition at this point in time.

Problem is, our inventory is fricking pathetic and puts us in embarrassing situations with clients, meeting deadlines, etc. I fear we may gain a reputation we won’t be able to shake.

I want to bring some solutions to the table and I’m in a position to make some much needed changes as long as I can prove it’s cost effective and inexpensive. First thing I’d like to do is tackle our materials tracking, which is currently scanning in receiving orders and filing them on the computer, then putting it out in a box or in the yard and praying we can find it amongst the other thousands of items when we need it.

Any ideas?

Depends on what your desired expectations are for this. Eventually do you want to incorporate RFID for tracking and inventory? And also need to consider your budget....you said "cost effective" but still need to establish what your budget is.

My budget is 10k total with support and software. Not sure how reasonable that is since I have just scratched the surface on this issue.

I want to be able to track materials from end to end and build a reliable inventory management and procurement schedule. Right now that consists of printing out isometric drawings and having some guys go pull from the yard. Very inefficient and error prone strategy. I haven’t thought that far ahead to rfid, I suppose it’s possible, but for now I just want to drag us out of the stone ages.

None, besides windows. Our office admins get receipts and scan them in as pdf files and put them in a folder on our company drive. So we have to sift through and compare them to a scanned pdf BOM to determine if everything is purchased.

However, I know that our purchasing and receiving team use sage, but not to it’s fullest capability.

Sounds like the first thing you need to do is set up dedicated locations for your materials.

Small signs in the yard for large items, shelves and bins for smaller items... everything labeled.

At my last job we encountered the same problem. We had to assign spots for everything with labels and part numbers before even thinking about starting up the program to track materials.

I'm not sure exactly what your line of work is but there might be software designed specifically for your industry. My previous job dealt with railcars. There are a couple of programs specifically designed for that... handles estimates, invoices, inventory, everything all in one package. We used ExpressYard.

You should be able to do what you want within Sage. Sage has an inventory list. The inventory list has a location field.

Yeah, I figured it was capable, but our IT guy said it’s like 3 grand per seat and we already have 5 people using it. I’ll check out local purchasing guy to see if he’ll let me in the system to do some exploration. Thank you!
