Organizing group projects in outlook

I'm pretty sure I've done this before in an older version of Outlook. I'm not exactly sure how to word this but here's an attempt.
Isn't there somewhere you can create a group where you can all post notes to each other? Not email, like make project notes and just a sort of running commentary

Did you create a "task"?
Or you can actually "create" a note.

I haven't done anything yet because I can't remember what I need to Google
We got a new POS (as in tpos) software and no one can tell who's doing what. So I'm trying to find a way to bridge the gap

Bugzilla is free and you could bend it to your particular use case with a little work (non technical).
Basecamp is also what a lot of people use.
Do you guys have a SharePoint Site? You could house a group spreadsheet there. Or just have one on a shared drive and just track all changes?
