How to find out if the bookkeeper is embezzling?

Several employees have reported that they believe too much tax is being taken out of their check. Like the bookkeeper might be documenting some of the $ as tax & stealing it or something... Is this a common way for them to embezzle with having the numbers right? Nothing major but possibly a few thousand a month..

Chances are your employees are wrong


This would be one of the easiest ways to get caught


ETA: meaning you literally have the dumbest bookkeeper alive if this is how they're stealing

Yep. You wouldn't need a forensic accountant to catch something like that. A freshman accounting student can detect a scam like that.

The withholding stays in your bank account. It's just money you owe to the government at the next pay cycle (monthly or quarterly depending on the size of your payroll.)

I've heard sooooo many stories of bookkeepers for small business stealing. Usually goes on for quite a while until caught.

Payroll taxes are easy to find. If your bookkeeper is getting away with that, your internal controls are terrible.

I know a guy that had a mom and pop hardware store that went out of business because the bookkeeper was embezzling.

I don't understand how you quantified it to a "few thousand a month" if you are asking for the best way to determine it. You first need to find out how to catch it and then you would be able to quantify it

Segregation of duties. One person shouldn't have custodial duties and recordkeeping abilities.

Take out the fractions of a cent. Then it's a rounding error. Deposit the amount in another account.

The employees' income taxes are what they are - determined by the IRS, not by the bookkeeper. If too much is being withheld, they are due a refund at the end of the year. So as long as the math adds up between what was withheld during the year and the amount withheld shown on their year-end W2, there really is no opportunity for embezzling here.

Most likely it's just some employees who think they are overtaxed; which is about the same % of inmates who think they're innocent.
