So what if I take a screenshot of the documents....i mean this seems a bit trivial to defeat

Well their list of suspects is narrowed due to knowing exactly who has opened said document, and when and where they did it.
In the military phones and cameras aren't allowed in top secret spaces, or where TS material is accessible. I'd imagine whoever screen shots a highly classified document didn't do so on the clock at the office. And yes there are higher ups who have access to the server from more private locations, but still, any inquiry into certain programs/documents are tracked.
